SPECIAL MEETING MINUTES
WEDNESDAY, MAY 28, 2008
The special meeting of the Handy Township Board of Trustees was called to order in the Handy Township Boardroom by Supervisor Denby at 6:30 P.M. Members present: Eisele and Vaupel. Absent: Tesch and Redinger. Also present: Rachel Boersma –Polack Corporation.

MOTION VAUPEL SUPPORT EISELE TO APPROVE THE AGENDA AS AMENDED. MOTION CARRIED.
Brief Public Comments None
New Business
Information on new copier for Clerk’s office-can be networked with office computer system, used for faxing, scanning and can be used with electronic filing system DOCstar. The main copier needs 4 drawers for paper instead of only two drawers. Discussion followed concerning cost per copy, lease payment plans available, May special, Docstar program and the ability to send Board packets via e-mail.
MOTION VAUPEL SUPPORT EISELE TO ENTER INTO AN AGREEMENT WITH THE POLACK CORPORATION TO LEASE THE DOCSTAR SOFTWARE PROGRAM INCLUDING THE HARDWARE FOR DOCSTAR SYSTEM AND TO LEASE A SAVIN C2020 COPIER FOR THE CLERK’S OFFICE. PAYMENTS TO BE MADE ANNUALLY FOR 5 YEARS WITH
THE FIRST PAYMENT IN THE AMOUNT OF $4381.00 AND THE REMAINING
4 ANNUAL PAYMENTS IN THE AMOUNT OF $5381.00 EACH.
MOTION CARRIED.
Paperwork is still being completed in the Van Buren settlement. Supervisor Denby is checking into bond options to cover the overrun on the project, she hopes to hear back in a couple of days.

Two bills need to be approved from the Van Buren project. Engineering Technologies and William R. Ralls.
MOTION EISELE SUPPORT DENBY TO AUTHORIZE PAY REQUEST E-36 TO ENGINEERING TECHNOLOGIES IN THE AMOUNT OF $9853.36 AND TO AUTHORIZE THE SUPERVISOR’S SIGNATURE. MOTION CARRIED. VAUPEL – ABSTAIN.
MOTION EISELE SUPPORT DENBY TO PAY INVOICE TO WILLIAM R. RALLS IN THE AMOUNT OF $14,737.50. MOTION CARRIED.

Clerk Eisele reported that the natural gas line has been hooked up at the plant, but the radiant heaters in the building are not able to be changed from propane to natural gas. Two new heaters must be purchased.
MOTION EISELE SUPPORT DENBY TO CONTRACT WITH S & S MECHANICAL HEATING AND COOLING TO PURCHASE AND INSTALL TWO RADIANT HEATERS AT A COST OF $2384.00. MOTION CARRIED.
VAUPEL – ABSTAIN.
Supervisor Denby has written a letter to the Board of Commissioners requesting their assistance in the Grand River Sewer Extension Project.
The Board of Commissioners has met and Drain Commissioner Brian Jonckheere shared our concerns at the meeting. They voted to loan Handy Township the funds needed to secure and repair the area around Nicholson Road. We are still waiting on the Bond Company to make their decision concerning the project. Supervisor Denby requested the Board’s approval to send the letter she wrote to the Board of Commissioners.
MOTION VAUPEL SUPPORT EISELE TO AUTHORIZE SUPERVISOR DENBY TO SEND THE LETTER TO LIVINGSTON BOARD OF COMMISSIONERS REQUESTING ASSISTANCE WITH THE WEST GRAND RIVER SEWER PROJECT. MOTION CARRIED.

Clerk Eisele thanked Trustee Vaupel for his assistance in covering the Zoning Department while the Zoning Administrator was in the hospital. Asked if he would continue to be available on an emergency basis. Also discussed who could cover DPW concerns should Mr. Anderson be unavailable again. Supervisor Denby will look into it.
